Creating a CSV file from Microsoft Access


Creating a CSV file from Microsoft Access (database) is similar to that from Excel, but there are a few more steps. Fortunately a "wizard" helps you through the stages.

With MS Access running, and the data being displayed in a table:

From the menu select "File" and then "Save As/Export..."

On the first window just press OK

just click OK in this step

On the next window

From the "Save as type:" drop down list, select "Text Files (*.txt;*.csv;*.tab;*.asc)" as shown in the example above.

Give your file a meaningful name, and add the .csv extension instead of the .txt extension. e.g. above I typed "arlingburial.csv".

Make sure that the check box "save formatted" is empty

Click in the button marked "Export"

Next screen:

Just click "next..."
and on the next screen, change "Text Qualifier" to {none}

Then click "next..."

and finally: name the file with a .csv extension, and click on "Finish"

The resulting CSV file can be sent to FreeREG so that we can import it into the database, or it can easily be opened by any other database or spreadsheet program.

You are now at the penultimate stage. Before submitting the data to FreeREG it is necessary to tell FreeREG something about the data that you have entered. This is described in detail on the headers web page. As noted the headers are added using Notepad or something similar. It CANNOT be done with Access!
